Terms & Conditions
These Terms & Conditions (“T&Cs”) apply to all bookings made with Run The Trails Pte. Ltd. (“RTT”), a Singapore-registered company.
By booking a trip with RTT, participants agree to these T&Cs in full.
1. About Run The Trails
1.1 Run The Trails (RTT) is a Singapore-based company dedicated to bringing trail runners from around the world to experience breathtaking landscapes, cultural immersion, and performance-focused coaching abroad. Our vision is to create meaningful and responsible travel experiences that combine running, exploration, and respect for the people and places we visit.
1.2 RTT collaborates with experienced local partners to deliver trips in destinations including, but not limited to, China, Hong Kong SAR, Thailand, and Malaysia. RTT ensures compliance with local safety and legal requirements while fostering openness, respect, and global connection through running.
2. PAYMENT TERMS
2.1 PRICING & CURRENCY
All prices are quoted in USD. Prices are per participant unless otherwise stated and include only those items expressly listed as included in the trip description. Run The Trails reserves the right to correct any pricing errors prior to confirmation of booking.
2.2 DEPOSIT & BOOKING CONFIRMATION
A booking is secured upon receipt of the required deposit of US$800 per participant (unless otherwise stated), which reserves a spot on the trip. The booking is considered fully confirmed only once the full tour price has been received. Until full payment is received, Run The Trails reserves the right to release any provisional reservations without notice.
2.3 BALANCE PAYMENT & PAYMENT METHODS
The remaining balance of the tour price must be received no later than 31 days before the scheduled start of the tour. Run The Trails will send a reminder email regarding balance collection.
For participants who paid the deposit via credit or debit card, the balance may be automatically collected using the same card. For other payment methods (e.g., Google Pay, Apple Pay, WeChat Pay, bank transfer), participants are responsible for ensuring the balance is paid by the deadline using an approved payment method.
Any additional services or optional add-ons added after final payment will be charged to the same credit or debit card on file, where supported, or via an approved alternative payment method.
By providing a payment method, participants agree that Run The Trails may charge that method for all amounts due under the booking, including deposits, balance payments, and approved add-ons, in accordance with these Terms and Conditions, including the cancellation terms.
2.4 ADD-ONS & UPGRADES
Optional add-ons, upgrades, or special-order items may require full payment at the time of confirmation. Once confirmed, such items may be non-refundable in part or in full, as outlined in Clause 7.
2.5 CHARGEBACK GUIDANCE
Participants agree not to initiate improper chargebacks on authorized payments. If participants have questions about charges or payment timing, they should contact Run The Trails to resolve any concerns prior to disputing a payment.
Improper chargebacks may result in cancellation of the related reservation and recovery of associated costs.
2.6 FAILURE TO PAY
If a participant fails to make any required payment by the specified deadline, Run The Trails reserves the right to:
- Cancel the booking without further notice
- Retain any payments already made in accordance with the applicable cancellation terms (see Clause 7)
2.7 PRICE ADJUSTMENTS & ADDITIONAL COSTS
Once a booking is confirmed, tour pricing is locked in for the booked trip and dates. Participants are responsible for any additional costs arising from:
- Requested rescheduling or transfers (Clauses 7.3 & 7.4)
- Approved upgrades or add-ons
- Third-party services booked on the participant’s behalf
3. Prices & Price Guarantee
3.1 Pricing
All tour prices are quoted in USD unless otherwise stated. Prices are inclusive of all items listed in the trip description, including accommodation, permits, transport, guides, and coaching services, as well as any applicable taxes or fees. Optional add-ons, upgrades, and personal expenses are not included and must be paid separately.
3.2 Price Guarantee
Run The Trails guarantees the tour price once a booking is confirmed. Participants can be assured that RTT will honor the published trip price and protect against fluctuations in local supplier costs, currency, or inflation. RTT achieves this through strong partnership agreements with trusted on-the-ground operators, ensuring stability and fairness for all participants.
3.3 Early Bird Pricing
Early Bird pricing is available on selected trips for participants who confirm their booking with full payment by the stated Early Bird deadline.
The Early Bird deadline is typically 90 days before the scheduled start of the tour, unless otherwise specified on the relevant trip page. Some trips may offer Early Bird pricing with a shorter commitment window (for example, 50–80 days before the tour start), which will be clearly stated at the time of booking.
Bookings not paid in full by the applicable Early Bird deadline will revert to the regular tour price. Early Bird offers are capacity-limited and may be withdrawn once allocated.
4. Minimum Group Size
4.1 Each trip requires a minimum number of participants as stated in the trip description. Unless otherwise specified, the minimum group size is set at 4 weeks before departure.
4.2 If the minimum group size is not met, RTT reserves the right to cancel the trip. In such cases, RTT will refund in full the amount received from the participant, using the same payment method originally used. Please note that depending on the participant’s chosen payment method, the receiving bank or payment provider may deduct additional fees, which are outside of RTT’s control and therefore not refundable by RTT.
5. Changes to Booking/Itinerary
5.1 Booking modifications
Requests to modify an existing confirmed booking, such as adding optional activities, services, or upgrades, will be considered and accommodated where possible, before the scheduled start of the tour.
- Minor modifications (add-ons, upgrades) may require additional payment at the time of the change.
- Major modifications, including cancellation, rescheduling, or transfer to another participant or trip, will be handled under Section 7: Cancellations, Refunds, Rescheduling & Transfers.
5.2 Itinerary changesOnce a trip has commenced, Run The Trails reserves the right to modify the itinerary as necessary due to logistical, safety, or weather-related reasons. Such changes do not constitute grounds for a refund. Where feasible, participants will be offered alternative arrangements or options to maintain the quality of the trip experience.
6. Fitness, Medical & Age Requirements
6.1 Participants must be at least 18 years of age at the time of travel. Those under 18 must be accompanied by a parent or legal guardian, who may participate as a non-running participant.
6.2 Participants must disclose all relevant medical conditions, allergies, medications, and dietary requirements at the time of booking or no later than 14 days prior to departure. Participants prescribed Epi-Pens or other emergency medication must bring and carry their own supply.
6.3 Proof of valid personal travel insurance covering trail running, medical emergencies, evacuation, and trip cancellation must be submitted to RTT no later than 14 days before departure. RTT reserves the right to reject participants who fail to provide such proof.
6.4 Participants are responsible for ensuring that any personal medications they bring comply with import regulations in the destination country.
7. Cancellations, Refunds, Rescheduling & Transfers
Some trip components require advance payment and firm commitments before departure. As a result, not all items are refundable, including pre-ordered items and third-party add-ons once confirmed. Our Cancellation, Refund, Rescheduling & Transfer policy reflects the need to secure permits, accommodation, transport, and to confirm coaches, guides, and local support teams in advance, as well as to meet minimum participant requirements for each trip. The terms below outline how cancellations, refunds, rescheduling, and transfers are handled.
7.1 Cancellation By Participant
For cancellations initiated by participants, all refunds are subject to a 3.8% administrative and payment processing fee, calculated on the total amount originally paid.
Instead of a refund, participants may choose to reschedule their booking to another Run The Trails trip at no cost, provided the new trip takes place within 9 months of the cancellation date and is for the same participant. Please refer to 7.3 Rescheduling Original Booking for details.
Alternatively, a booking may be transferred to another person, subject to approval and applicable transfer fees (please refer to 7.4 Transfer to Another Person). Transfers are permitted once only, after full payment has been made, and must comply with all transfer conditions.

7.2 cancellation by run the trails
In certain circumstances, Run The Trails may cancel a trip due to events beyond its reasonable control, including force majeure situations. Refunds in such cases will be provided as set out in the table below. Participants are strongly advised to obtain comprehensive travel insurance at the time of booking, as any additional costs or losses incurred outside of the tour pricing, including flights or other personal arrangements, are the responsibility of the participant.

7.3 RESCHEDULING ORIGINAL BOOKING
7.3.1 Rescheduling initiated by the participant
A participant may request to reschedule their booking to another Run The Trails trip, subject to availability and approval. Rescheduling applies to the same participant only and must take place within nine (9) months of the scheduled start of the original tour. Only one rescheduling per booking is permitted.
The following rescheduling fees apply, based on the number of days before the scheduled start of the tour:

Any difference in tour pricing between the original and rescheduled trip must be settled by the participant. Where the rescheduled trip is of lower value, the price difference will be issued as a non-refundable tour credit for future use and is not redeemable for cash.
Participants are responsible for any additional costs incurred as a result of rescheduling, including but not limited to, accommodation cancellation fees, permit reissuance, or third-party services already confirmed.
7.3.2 Rescheduling initiated by Run The Trails
Where Run The Trails initiates a rescheduling due to operational, safety, or force majeure reasons, no rescheduling fees will apply.
If the rescheduled trip is of lower value, the price difference will be refunded to the original payment method.
If the rescheduled trip is of higher value, the participant will be required to pay the difference prior to confirmation.
7.4 TRANSFER TO ANOTHER PERSON
A confirmed booking may be transferred once only to another participant for the same trip and scheduled start date, subject to approval by Run The Trails. Transfers are permitted only after full payment has been received.
The replacement participant must:
- Meet the applicable Trail Difficulty Level requirements (see [Trail Difficulty Level Guide – link])
- Agree to all booking terms and conditions
- Provide all required information within the required timeframe
The following administrative fees apply, based on the number of days before the scheduled start of the tour:

No transfers are permitted once the tour has commenced.
If a transfer cannot be accommodated, participants may consider rescheduling under Clause 7.3 or cancelling under Clause 7.1, subject to the applicable terms.
7.5 MISSED DAYS & ACTIVITIES
Once the trip has commenced, there will be no refund, rescheduling, transfer, or compensation for any missed days or activities due to late arrival, early departure, illness, injury, or a participant’s decision not to participate.
Where feasible, Run The Trails may assist with arranging additional transport or services; however, any associated costs will be borne by the participant.
8. Participant Responsibilities
Participants are expected to follow instructions of RTT leaders and local partners, respect local cultures, and act responsibly.
9. Permits
9.1 For local permits required for trail runs and planned activities, RTT will procure the necessary permits and may seek additional information from participants to complete the application process.
10. Liability & Responsibility
10.1 RTT acts as an organizer working with local operators. While RTT carefully selects partners, participants acknowledge that certain risks are inherent in trail running and international travel.
10.2 While RTT works only with vetted local partners, RTT remains the contracting party for participants. If negligence by a supplier materially impacts the service, RTT will address such claims directly with the supplier on behalf of participants, in line with our duty of care.
11. LATENESS & EARLY DEPARTURE
Participants who arrive late due to flight delays, personal reasons, or other circumstances, or who choose to depart early, are not entitled to any refund, rescheduling, transfer, or credit for missed days or activities.
Where feasible, Run The Trails may assist with arranging alternative transport or services; however, any associated costs will be borne by the participant.
12. Weather & Route Adjustments
In the event of adverse weather, natural disasters, or official trail or park closures by local authorities, RTT may modify, shorten, or replace planned activities with suitable alternatives, including but not limited to alternate running routes, cultural excursions, fitness workshops, or shuttle transfers.
Such modifications do not constitute grounds for refunds, rescheduling, or transfers. Full trip cancellations due to force majeure, destination closures, or other extreme events are handled separately under Clause 7.2.
13. Personal Data & Privacy
13.1 RTT complies with the Singapore Personal Data Protection Act (PDPA) in the collection, use, and protection of personal data. As RTT’s clients are primarily international, RTT also aligns its practices with the standards of the EU General Data Protection Regulation (GDPR).
13.2 Participant data will only be used for the purposes of trip organization, emergency response, and service delivery, and will not be shared with third parties except as necessary to deliver contracted services (e.g., hotels, local operators, medical providers).
14. HARASSMENT, MISCONDUCT & DISRUPTIVE BEHAVIOR
Run The Trails is committed to providing tours that are safe, respectful, and free from harassment, discrimination, or other inappropriate conduct. Participants must behave in a manner that ensures the safety, comfort, and enjoyment of all participants, guides, coaches, and staff.
Prohibited conduct includes, but is not limited to:
- Harassment or discrimination based on race, religion, color, gender (including gender identity and expression), national origin, ancestry, physical or mental disability, medical condition, marital status, registered domestic partner status, age, sexual orientation, military or veteran status, or any other basis protected by law.
- Verbal conduct such as epithets, derogatory jokes or comments, slurs, or unwanted sexual advances, invitations, comments, posts, or messages.
- Visual conduct including derogatory or sexually-oriented posters, photography, cartoons, drawings, gestures, or political messaging that may create discomfort, conflict, or tension on the trip.
- Physical conduct including assault, unwanted touching, intentionally blocking movement, or interfering with trip activities in a manner that threatens safety or enjoyment.
- Threats, coercion, or intimidation, including demands to submit to sexual requests or sexual advances.
- Disruptive or dangerous behavior that endangers self, other participants, guides, or trip operations, or violates local laws or regulations.
Participants should immediately report any harassment, misconduct, or disruptive behavior to RTT staff. Any participant found engaging in prohibited conduct may be removed from the trip immediately at RTT’s discretion.
- No refunds, partial or full, will be issued for participants dismissed due to misconduct.
- RTT is not responsible for any additional expenses incurred by a participant as a result of dismissal, including transport, accommodations, or other trip-related costs.
15. GOVERNING LAW
These Terms & Conditions are governed by the laws of Singapore. Any disputes arising under these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Singapore.
Participants acknowledge that tours are conducted in international locations where Run The Trails operates, and that certain local laws, regulations, and operational requirements may apply to activities, suppliers, or personnel during the tour. Compliance with such local requirements is the responsibility of both Run The Trails and the participant where applicable.
